SUMMARY
The primary role of the Sales & Catering Coordinator is to provide a wide range of hotel administrative support that will enable the property sales and catering managers to focus on revenue generating activities.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:
Sales & Catering Coordinator responsibilities include:
- Greet clients, answer phone calls, intake and process incoming lead information, handle reservation requests, research group billing inquiries, gather data as needed, compile reports, maintain files and prepare correspondence.
- Interact with group, catering, and business travel customers in person, via email, and over the phone to qualify and assist existing and future customers.
- Assist Sales & Catering managers with duties as needed including but not limited to initial billing inquiries, final bills, commission payments, no-show status, sales system research, scheduling appointments, assisting with site tours, etc.
- Responsible for all in-house events to include BEO creation, menu selection, final bills, event space set up, etc.
- Assist Sales & Catering managers with RFP responses, proposals, contracts, BEOs, and meeting arrangements as needed.
- Upload and maintain the group files within the sales system for all group bookings at the property level. This includes ensuring signed agreements are uploaded when all bookings are turned to definite bookings.
- Maintain inventory and create printed and electronic collateral to include coupons, flyers, and branded sales and marketing pieces as needed.
- Participate in hotel team meetings.
- Provide additional administrative assistance as directed.
- Any and all other work as required to complete the primary purpose of the position.
- Gift Certificates & Amenity Requests.
- Create event paper materials such as but not limited to menus, buffet signage, directional signage, amenity cards, etc.
- Maintain positive inner-hotel relationships with all hotel departments to expedite efficient communication.
QUALIFICATION REQUIREMENTS

EDUCATION and/or EXPERIENCE
High School Diploma and one to two years of related sales, hospitality, and/or secretarial experience required.
LANGUAGE SKILLS
Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures or governmental regulations. Ability to write reports, business correspondence and procedure manuals. Ability to effectively present information and respond to questions in English from members, managers, clients, customers and the general public.
MATHEMATICAL SKILLS
Ability to calculate figures and amounts such as discounts, state, city and federal taxes and percentages. Ability to apply concepts of basic mathematics.
REASONING ABILITY
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.
OTHER SKILLS and ABILITIES
Ability to work in an efficient and professional manner with limited supervision. Ability to use a networked PC effectively with a working knowledge of PowerPoint, Windows, Microsoft Word, Microsoft Access and Excel.

The employee must have the ability to communicate and work effectively with these and other designated internal and external customers.
SCHEDULING
This company operates seven days a week, 24 hours a day. The shift for this position is Monday - Friday, 9:00 AM - 5:30 PM. At times it may be necessary to move you from your accustomed shift if business or task assignments demand. In addition, it should be understood that business needs determine the number of hours that you work.
